Cancel Orders as a Manager With a Reason

Cancel WooCommerce orders as a manager with a reason so staff actions are clear to customers and easy to review later.

Manager cancellation is different from customer cancellation requests. It lets store staff cancel an order directly and save the reason for internal records.

Enable Manager Cancellation Reasons

  1. Go to WooCommerce → Settings → Orders → Cancellation.
  2. Find Store manager actions.
  3. Enable Cancellation reasons for Manager use.
  4. Select the order statuses that staff can cancel.
  5. Add preset reasons for staff, one reason per line.
  6. Enable Shop Manager permission if needed.
  7. Save changes.

Cancel an Order From the Orders List

  1. Go to WooCommerce → Orders.
  2. Find an order with an allowed status.
  3. Click the cancel action in the order actions column.
  4. Select or type a cancellation reason.
  5. Submit the cancellation.

What Happens

The order status changes to Cancelled, the reason is stored on the order, and an order note is added for audit history.
