Configure Customer Cancellation, Rescheduling, and Portal Access

Provide secure token links and a signed-in portal for upcoming and past appointments.

Yo Booking supports token-protected cancel and reschedule actions plus [yo-booking-portal] for signed-in customers. Customer actions remain subject to the configured deadlines and conflict checks.

Open the feature

Go to Yo Booking > Settings > General.

Before you start

  • Set cancellation and rescheduling deadlines.
  • Choose a page restricted to signed-in customers for the portal.
  1. Publish [yo-booking-portal] on the customer portal page.
  2. Confirm appointment emails include the intended manage links.
  3. Open an eligible appointment through a secure token link.
  4. Test cancellation and rescheduling inside and outside the deadline.
  5. Sign in as a customer and verify Upcoming and Past appointments in the portal.

What success looks like

  • Expired, invalid, or reused action tokens fail safely.
  • Successful customer changes update the appointment, audit trail, and configured notifications.

Important notes

  • Do not expose raw appointment identifiers as an authorization mechanism.
  • Administrators may override customer-facing restrictions only when business policy permits.

Customer Portal block in 2.0.2

  • Insert the Customer Portal block from the dedicated Yo Booking block category, or retain the existing [yo-booking-portal] shortcode.
  • Test signed-in Upcoming/Past views and token-based cancel/reschedule actions after replacing a shortcode with the block.
