Review, Approve, or Reject Cancellation Requests

Review, approve, or reject WooCommerce cancellation requests from customers and understand what happens to the order afterward.

When manual approval is enabled, a customer cancellation request moves the order into a review workflow instead of cancelling it immediately.

Configure Manager Actions

  1. Go to WooCommerce → Settings → Orders → Cancellation.
  2. Find Store manager actions.
  3. Enable Cancellation approval.
  4. Select the status used when a request is approved.
  5. Select what happens when a request is rejected. In most stores, use Back to previous status.
  6. Add approval and rejection notices for customers.
  7. Enable Shop Manager permission only if non-admin staff should manage requests.
  8. Save changes.

Approve a Request

  1. Go to WooCommerce → Orders.
  2. Open an order with Cancel requested status.
  3. Review the customer reason.
  4. Click the approve button.
  5. Confirm the order status changed to your configured approval status.

Reject a Request

  1. Open the order with a cancellation request.
  2. Click the reject button.
  3. Enter a clear rejection reason.
  4. Submit the rejection.
  5. Confirm the order returned to the previous or configured rejection status.

What Customers See

The customer can see the request record in the order details area. They may also receive approval or rejection emails, depending on WooCommerce email settings.
