Troubleshooting: Approval or Rejection Is Not Working

Troubleshoot WooCommerce cancellation or return approvals when request decisions do not update the order as expected.

Approval and rejection actions depend on order status, user permission, and configured result statuses.

Check the Order Status

Cancellation approval appears when the order is in Cancel requested. Return approval appears when the order is in Return requested or when a specific-item return is stored on the order.

Check User Permission

Administrators can manage requests. Shop Managers need the related permission enabled in Cancellation or Returns manager settings.

Check Approval Status Settings

Make sure the approval status still exists and is appropriate. For cancellation, this is usually Cancelled. For returns, this is often Refunded or another return-processing status.

Check Rejection Reason

Rejection requires a reason. If the reason is blank, the rejection should not proceed.

Check Emails Separately

A status change can succeed even if an email does not send. If the order status changed but the customer did not receive an email, troubleshoot WooCommerce emails separately.
